Case study for DocTo

One small consultancy company uses DocTo to improve their production of invoices from timesheets and expense data.

The company records its chargeable time and expenses in a fairly sophisticated Excel spreadsheet.  Each month the company calculates the amount to be billed to its clients and stores the results in a table in the spreadsheet.

The company's operations director said

Our documents have to be accurate and presentable.

Before we had DocTo, it was time consuming and error prone for us to produce invoices each month.  We used to pick up a model document, amend the addressee details, amend the invoice header details, then transcribe the chargeable line item details and totals from our billing spreadsheet.  Making a change to the timesheets or expenses meant we had to transcribe the line items and totals again.

With DocTo we turned it around.  We start from addressee's Contact item in our corporate Outlook system, and use DocTo to select the template for ClientInvoice which then does all the work for us - from asking the invoice number, though accessing the spreadsheet, to producing the finished invoice for our company letterhead.

We can now get our invoices out more easily, more quickly, and with less errors.

The company also uses DocTo templates for its client letters, faxes, reports, and other office documents.
